The EU AI Act: What Every Business Owner Needs to Know

AI is transforming the way we work at lightning speed. You’re probably already using it: a chatbot on your website, an AI receptionist scheduling appointments, or automations in your customer service. Smart, but these smart systems come with new rules.
Since 2024, the EU AI Act has officially come into force. It’s the first law in the world that defines how businesses are allowed to use AI. And yes, that includes you as an entrepreneur.
What is the AI Act?
In short, Europe wants AI to remain safe, fair and transparent. No science fiction, just clear boundaries: what’s allowed, what’s not, and how to make sure customers know when they’re interacting with AI.
The law looks at the level of risk. Are you using AI to evaluate people, for example in hiring or healthcare? Then stricter rules apply. But even lighter applications, like an AI receptionist, will soon need to comply with the new law.
When do the rules take effect?
The AI Act officially started on August 1, 2024, but the requirements are being introduced step by step. These are the key dates to keep in mind:
February 2025 Prohibited AI systems must be taken off the market. Think of AI that scores people socially, manipulates behavior or uses real-time facial recognition in public spaces.
August 2025 Using General Purpose AI, like ChatGPT or similar tools? You’ll need to meet new transparency requirements. This includes showing what data was used, how the system works, and whether copyright has been considered.
August 2026 If you use AI for critical decisions such as hiring, healthcare, legal processes or credit scoring, your system will fall under the high-risk AI category. You’ll need to prove that it is fair, safe and open to human review.
August 2027 From this point forward, the full AI Act applies to all risk categories. Businesses must comply with rules around oversight, documentation, auditability and safety.
In short: the first obligations are coming soon. If you’re already using AI, the best time to start preparing is now.
What does this mean for your business?

Be transparent about AI Let customers know when they’re talking to a machine. No hidden bots.
Offer a human alternative Customers must be able to switch to a real person if they prefer.
Handle data with care Only collect what’s truly necessary and follow GDPR guidelines.
Document your AI usage Be clear about what your AI does, why it does it and based on what data. Especially important for broader systems, starting in 2025.
Enable human oversight When AI affects people, like with assessments or decisions, human intervention must be possible.
